Where they run out

The trouble is rarely the tool. It is what the tool leaves for someone to do by hand.

  1. A referral is recorded once and never updated. A form captures the moment a referral is passed. Nothing brings the receiver back to say it was contacted, booked or closed, so most groups can count referrals passed but not business closed.
  2. Everyone with access sees everything. A shared sheet shows every referred person's name, phone and email to every member who can open it. Those people gave their details to one member, not to the whole chapter.
  3. The receiver isn't told automatically. A Google Form can email its owner when a response arrives. Getting each referral to the member it is meant for takes an add-on, a script, or a leader who forwards it.
  4. Reports are somebody's evening. Monthly totals, top givers and each member's given and received numbers have to be built, then rebuilt next month.
  5. Attendance, guests and 1-to-1s live somewhere else. Usually on paper, or in more tabs.
  6. Each chapter has its own file. An organization with several chapters has several sheets in several formats, and no view across them.

Task by task

Giving a referral

  • Spreadsheet: open the sheet, find the next empty row and type it in.
  • Google Form: fill in the form and pick the member from a list someone keeps up to date.

Telling the receiver

When to stay with a spreadsheet

Stay where you are if all of these are true:

  • You have one chapter, and it is small enough that the leader knows about every referral anyway
  • Nobody is asking how much business the group closed
  • The sheet with people's contact details is shared only with those who need it
  • The leader doesn't mind doing the adding up
